Data Retention Policy
1. Purpose
Innovations and More Ltd ("we", "us", "our") operates InternPortal.net to administer its remote Marketing Internship Programme. Personal data is collected and retained so that we can operate the portal, manage applications and internships, communicate with users, maintain security, meet legal and regulatory obligations, and keep accurate records of programme participation and related decisions.
This Data Retention Policy explains the principles we apply when retaining personal data processed through InternPortal.net. It should be read together with our Privacy Policy.
2. Categories of Data
Depending on how you use InternPortal.net, we may collect and retain categories of data including:
- Registration information (such as name, email address and account credentials stored as a secure password hash)
- Profile information (such as country, phone number, biography and related application fields)
- Uploaded CVs and curriculum vitae files
- Professional profile links (such as LinkedIn or other professional profile URLs)
- Daily updates submitted through the portal
- Project submissions and related task or block submissions, including attachments and review feedback where applicable
- Communications published or otherwise administered through the portal
- Internship Agreement acceptance records and other agreement acceptance records
- Audit logs of significant intern and administrator activity
- Login history and related security or session records
- Account deletion requests and related review records
3. Retention Principles
We retain personal data only where it is needed:
- for legitimate business purposes
- to operate the internship programme
- for legal compliance
- for security
- for fraud prevention
- for audit purposes
We do not intend to retain personal data for longer than is necessary for those purposes. Retention periods may vary by category of data and by the context in which it was collected.
4. Applicant Retention
Where an application is unsuccessful, or an account is created but an internship place is not offered or accepted, we may retain relevant registration, profile, CV and application records for a reasonable period so that we can administer the programme, respond to queries, prevent abuse, and meet legitimate business or legal needs. After that period, records may be deleted or otherwise handled in accordance with this policy and applicable law, subject to any overriding retention requirements.
5. Accepted Intern Retention
Where an applicant is accepted onto the Programme, we may retain internship records — including profile information, assignments, daily updates, submissions, feedback and related programme administration records — for as long as needed to operate the internship, provide references or certificates where applicable, resolve disputes, and meet legitimate business, contractual or legal requirements after participation ends.
6. Audit Logs
Audit logs and related security records may be retained for longer than ordinary account content where this is reasonably required for:
- security
- fraud prevention
- legal defence
- regulatory compliance
Such records are protected by access controls and are not used for unrelated purposes.
7. Deletion Requests
Users may request deletion of their InternPortal account under applicable data protection law. Requests are submitted through the portal where available and are reviewed by an administrator. Submitting a request does not immediately delete an account or all associated personal data. Deletion may be delayed, limited or refused in whole or in part where information must be retained for legitimate legal, contractual, regulatory, security, fraud-prevention or audit reasons, or where otherwise permitted or required by law. Further detail on how to request deletion is provided on your account page and in our Privacy Policy.
8. Legal Basis
We process and retain personal data in connection with InternPortal.net in accordance with the UK General Data Protection Regulation (UK GDPR) and applicable UK data protection legislation. Depending on the processing activity, this may include processing based on consent, contractual necessity, legal obligation, or our legitimate interests in operating a secure internship management portal. This section is descriptive only and does not constitute legal advice.
9. Security
We use reasonable technical and organisational measures to protect stored information, including access controls, secure password hashing, encrypted connections (HTTPS) where the service is delivered over HTTPS, and validated file handling. No method of transmission or storage is completely secure, but we take appropriate steps to reduce risk.
